Who we are

Frome Eco Party Kit is run by Georgina Krstic (“Gina”, “we”), a sole trader in Frome, Somerset. Gina decides how your information is used, which makes her the “controller” under UK data protection law.

What we collect and why

When you send an enquiry or a message: your name, email address, phone number (if you give it), party date, number of guests, what you chose (packages, games, colours and washing up), your notes or message, and how you heard about us. We use these to reply, check your date and send you a quote. The legal basis is taking the steps you’ve asked for before a contract.

If you mention your child in your notes, such as their name or age for a theme, we use it only for your party.

If you tick the box for news: your email address, to send you occasional emails about new kits and games. The legal basis is your consent. You can unsubscribe from any email, or ask Gina, at any time.

When you book: everything above, plus your quote, collection and return dates, whether you chose washing up, the amount and date you paid, and which version of the hire terms you agreed to. We use these to provide your hire, send your confirmation, receipt and reminders, and keep the records a business must keep for tax. The legal bases are the contract with you, and our legal obligation to keep tax records.

Payments are taken by Stripe. Your card details go to Stripe, not to us, and Gina never sees your full card number.

Emails and messages you send Gina, and her replies, are kept in her email inbox.

Keeping the site secure: the enquiry form uses Cloudflare Turnstile, which checks that a person, not a program, is sending it, using information about your browser and device. Cloudflare also keeps short-lived technical records, such as IP addresses, to run and protect the site. The legal basis is our legitimate interest in keeping the site working and free of spam.

Analytics

The site counts how it’s used, so Gina can see which pages help and where people give up. It doesn’t use cookies.

When you arrive, your browser makes up a random visit number, which lasts until you close the tab. The site records the pages you look at, and steps like picking an item, starting the enquiry form, sending it, opening a quote and paying, against that number. It doesn’t record your name, email, phone number, party date or IP address, and the visit number isn’t linked to you.

UK law lets a site do this without asking first, because it’s used only to make statistics about the site, as long as it’s explained and easy to turn off.

Turning it off saves a small note in your browser so the site remembers your choice. If you clear your browser’s data, or use another device, you’ll need to turn it off again.

Who else handles your information

We use a few companies to run the business. They handle your information only to provide their service to us:

• Cloudflare hosts the website and its database, sends the site’s emails, and runs Turnstile.
• Stripe takes payments and refunds. Stripe also uses payment information for its own purposes, such as preventing fraud, under its own privacy notice.
• Google provides Gina’s email (Gmail), where enquiries arrive and replies are sent, and her calendar (Google Calendar), which holds your name, your hire dates and the items booked.

Some of these companies handle information outside the UK, including in the US. Where they do, the transfer is protected by the UK’s rules for sending data abroad, such as the UK–US data bridge or the UK’s approved contract terms.

We never sell your information, or give it to anyone for their own marketing.

How long we keep it

• Enquiries that don’t become a booking: deleted 12 months after the enquiry.
• Bookings: kept for 6 years after the hire, for tax records, then deleted.
• The news list: until you unsubscribe.
• Analytics: kept to compare one year with the next. It holds no personal information.
• Stripe keeps its own payment records for as long as the law requires it to.

Your rights

You can ask Gina to:

• give you a copy of the information we hold about you;
• correct anything that’s wrong;
• delete your information, unless we have to keep it (for example, booking records for tax);
• stop or limit how we use it, or object to how we use it;
• send your information to you or someone else in a common format.

If you gave consent, for the news emails, you can take it back at any time.

Send a message saying what you’d like, and she’ll reply by email within one month.

If you’re unhappy with how your information has been handled, please tell Gina first. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, or call 0303 123 1113.

Changes to this notice

If this notice changes, the new version goes here with a new date.
